Step 4: New Practice Activation

  1. The new practice will be created instantly.

  2. A 7-day free trial will begin under your corporate account.

  3. The practice will have its own:

    • Dashboard (separate from the corporate dashboard).

    • Practice Info section (for editing details).

    • Team Member management (to add or remove staff).

    • Billing Information (independent of other practices).

Note: The corporate account holder retains central oversight of all practices, but each practice functions independently.

Step 5: Practice ID Assignment

  1. Each new practice is automatically assigned a unique Practice ID.

  2. The Practice ID is required for:

    • Connecting TV or streaming devices.

    • Managing and syncing playlists.

  3. Record this Practice ID in your corporate records for reference.

Tip: Keep a master list of all practice IDs to streamline support and troubleshooting.

Part B: Managing Playlists

Step 1: Access Playlist Settings

  1. From the practice dashboard (not the corporate dashboard):

    • Locate the left-hand navigation menu.

    • Click Playlist.

Step 2: Review “Now Playing” Section

  2. This displays the list of videos currently scheduled to play at the practice.

  3. Review the order and confirm if the active playlist matches the desired sequence.

Step 3: Rearrange Playback Order

  1. To change the order of videos:

    • Hover over a video title.

    • Click and hold the drag icon (usually three horizontal lines or dots).

    • Drag the video to its new position in the playlist.

  2. Once the sequence is set, click Save Changes.

  3. A confirmation pop-up will appear → click Confirm.

  4. Your playlist updates will be applied immediately.

Best Practice: Always review the final order after saving to ensure the changes were applied correctly.

Step 4: Use Playlist Filters

  1. In the Playlist section, you can refine your view using filters:

    • All Videos → Displays the entire library available to the practice.

    • In Production → Shows videos that are being finalized and will be ready within 24–48 hours.

    • Now Playing → Displays only the currently active playlist.

  2. Use filters to quickly identify which videos are available, in progress, or live.

Step 5: Monitor Video Production Status

  1. Videos labeled In Production are not yet available for playback.

  2. These videos are typically:

    • Awaiting quality review.

    • Being finalized for release.

  3. Expect availability within 24–48 hours.

  4. Once available, they can be added to your playlist immediately.

Part C: Best Practices for Multi-Practice Management

  • Consistency: Keep naming conventions uniform across practices (e.g., “Practice – City Name”).

  • Customization: Tailor each practice’s playlist to reflect its patient demographics.

  • Oversight: Corporate accounts should regularly audit playlists to ensure quality control.

  • Recordkeeping: Maintain a log of each practice’s Playlist IDs and assigned admins.

  • Communication: Notify practice admins when new videos are released to ensure adoption.

Key Notes

  • Practices are independent but centrally visible under the corporate account.

  • Playlists are not shared between practices → each one must be customized individually.

  • Device connections require the Practice ID.

  • Changes to playlists are practice-specific and do not affect other locations.
